What expenses do most Airbnb hosts miss?
The ones that do not show up on a monthly cadence. Annual insurance renewals, permit and licensing fees, capital reserves for appliance or HVAC replacement, consumable restocking, off-season utility spikes, and the per-booking transaction fees that platforms deduct before you ever see a payout. Individually small, they add up to 10 to 15 percent of gross revenue on a typical listing.
What is a healthy expense ratio for a short-term rental?
It depends on the market and the financing structure, but most stabilized listings run between 35% and 55% of gross revenue in total operating expenses (excluding debt service). Above 55% the margin gets thin enough that a single slow month can push the property negative. Below 35% is possible but unusual outside of owner-managed, unfinanced properties.
Which STR expenses are tax-deductible?
Most operating expenses are deductible on Schedule E: cleaning, platform fees, insurance, property tax, management fees, supplies, repairs, utilities, and professional services. Capital improvements (a new roof, HVAC system, or major renovation) are depreciated over time rather than deducted in the year you pay for them. What counts as a capital expense vs. an operating expense?
An operating expense maintains the property in its current condition: cleaning, light bulb replacement, minor plumbing repairs. A capital expense improves or extends the life of the property: a kitchen remodel, a new HVAC unit, repaving the driveway. The IRS treats them differently for depreciation, and misclassifying them can create problems at audit time.
